    Prevent duplicate companies when syncing from HubSpot

    Use PromptLoop’s HubSpot integration to sync Company records without creating duplicates. The flow below maps fields, runs a pre-check, and applies smart deduplication.

    Prerequisites

    • HubSpot admin access
    • Company list in PromptLoop or HubSpot list/report

    Steps

    1. Connect HubSpot in PromptLoop → IntegrationsHubSpot → authenticate.
    2. Choose source: a PromptLoop dataset or a HubSpot list/report.
    3. Map fields: select the Company properties you want to update (e.g., domain, name, phone).
    4. Enable smart deduplication: run the Duplication Check tool to classify exact, likely, or no match. Review likely matches before syncing.
    5. Run a preview: sync 20–50 rows; confirm HubSpot merges into existing Companies where expected.
    6. Sync all: start the full run and monitor results. Export the duplicate report if you need an audit trail.

    Tips

    • Domain is the primary unique key; name + address can help review likely matches.
    • Keep a “PromptLoop Last Updated” datetime property in HubSpot for auditing.
